Position Summary:
The Aerospace Industries Association Vice President Space Systems is responsible for the development of AIA industry policy and budget advocacy positions on Civil, Commercial and National Security Space Programs. This position entails advocating on space issues, developing and articulating industry positions to national stakeholders through media, briefings, Congressional Hearings, conferences, Congressional events and panel discussions.
Specifically, the Vice President for Space Systems is charged with influencing and driving issues, regulations and developments that impact the U.S. space industrial base and workforce. To accomplish these responsibilities, the Vice President for Space Systems leads a team at AIA that works with and supports the space and space-related council, committees and working groups of Member companies within AIA focused on space issues.

Key Responsibilities:
This position reports directly to the CEO and interacts with AIA’s Executive Committee, its Board of Governors, and other member CEOs and senior company representatives.
The Vice President, Space Systems oversees the space policy division that presently includes the Senior Director, National Security Space, and Senior Manager, Space Systems. The Vice President for Space Systems is charged with serving AIA’s external member community, as well as the internal stakeholders who collectively assure the health of AIA through consistent membership renewals and top prospect acquisition. This includes collaborating with cross-departmental teams such as advocacy and outreach, and membership.
The Vice President for Space Systems is responsible for developing industry positions; drafting and refining AIA’s arguments on the various issues and topics under consideration; and in making these viewpoints known to appropriate Federal agencies, including Space Force, NASA, NOAA, DoD, FAA, the White House, the Department of Commerce, and the Intelligence Community, as well as their various bureaus and commissions. Some of these groups may have government, civilian, both domestic and international and/or military officials participating in or observing deliberations.
As the principal liaison to AIA company committees, subcommittees, and task forces, the Vice President for Space Systems works to identify and clarify space policy issues. The Vice President for Space Systems will both exercise thought leadership on long term space policies and also seek to develop industry consensus positions on relevant issues.
The Vice President regularly confers with various civilian and military officials within the Federal government and agencies to gain attention and favorable consideration of AIA’s viewpoint on subjects of current interest. Arranges and coordinates joint government-industry working groups and project teams within assigned area of responsibility to gain consensus on major issues affecting the aerospace industry.
Occasionally the Vice President will attend or participates in testifying at congressional hearings to advocate for issues relevant to AIA’s space policy strategy regarding legislative considerations and its potential impact on the aerospace and defense industry. Prepares and presents testimony or assists the legislative affairs staff in drafting testimony for the President and CEO to present at such hearings.
Serves as a central resource person, and as such responds to inquiries from member companies, government officials and the public seeking information and background data and expertise on space policy issues. These inquiries can range from general questions to highly specific requests that may take days to assemble the required data and background information.
Qualifications and Experience:
Experience Required
- Demonstrated self-starter with the ability to thrive in a fast-moving environment.
- An experienced professional in space and space-related policies, regulation and legislation.
- An understanding of the issues impacting the space industry domestically and internationally and a vision for how to advance and resolve these issues.

Position Summary:
The Senior Director of Legislative Affairs supports development of the Association’s legislative program, communication of the aerospace and defense (A&D) industry’s concerns and priorities to Congress, support for AIA events and informational sessions on Capitol Hill, and apprising AIA members of congressional actions and their impacts to the A&D industry. The position is responsible for monitoring and reporting on pending legislation affecting the industry on a broad range of aerospace and defense issues, recommending and implementing AIA positions and strategies in their regard, and advocating those positions before Congress. The Senior Director will manage the AIA legislative team and their work in the absence of the Vice President, Legislative Affairs. It is expected that this position will involve registration and reporting as a federal lobbyist, as required by law, but not registration as a lobbyist before any state.
Key Responsibilities:
This position reports directly to the Vice President, Legislative Affairs, and provides legislative support to more than one AIA policy division. Core duties and responsibilities are as follows:
- Monitors Congressional activity pertaining to defense and international activities and regulatory actions stemming from legislative initiatives. Provides timely feedback to AIA members; and recommends AIA positions and strategies for AIA’s legislative advocacy.
- Represents AIA at regular meetings of industry and agencies on specific legislative and regulatory activities. Arranges congressional briefings and coordinates industry presentations and responses with member company representatives.
- Develops and maintains strong working relationships with Congressional staff and Members of Congress; meets regularly with Congressional Members and staff, both independently and with others.
- Works closely with AIA member senior-level company representatives, industry coalitions, and other associations to develop, promulgate and advance industry positions. Serves as the coordinating director for Washington Procurement and International Legislative Committee activities.
- Coordinates with other staff and assists in preparation of AIA activities at internal and external strategic calendar events. May include international air shows, AIA Board of Governors meetings, Congressional briefings or receptions, and other events as needed.
- Reviews and contributes to articles, blogs, reports, electronic communications, and other written materials reporting on legislation and advancing industry positions.
- Drafts Congressional testimony and statements/letters for the record to be presented by AIA executives, and coordinates AIA’s Congressional hearing activities to ensure successful and responsive presentations.
- Leads the legislative staff in the absence of the VP, Legislative Affairs.

Position Summary:
The Senior Director of Corporate Events is a seasoned expert with 8 – 10 years of experience in meetings, conferences, event marketing and sponsorship. This position is primarily responsible for the planning and execution of AIA’s strategic corporate level events to achieve association goals and maximize profit. This critical position reports directly to the Senior Vice President, Operations.
Key Responsibilities:
Strategic Planning (25%)
- Develop an annual Corporate Events strategic plan that aligns to the AIA’s overarching strategic priorities
- Employ a collaborative process utilizing inputs from AIA’s division leaders
- Focus the strategic plan on achieving member retention and recruitment.
- Develop annual quantitative and qualitative goals for Corporate Events.
- Identify risks and success factors.
- Gain support and buy-in from leadership and key stakeholders.
- Communicate the plan broadly and effectively.
Execution and Measurement (50%)
- Execute AIA’s twenty-one corporate level meetings and conferences, including: Executive Committee board meetings, Board of Governors and Membership meetings, Supplier Management Council meetings, International Air Shows, and provides support for internal company-wide events.
- Ensure quality control of all event contract activities, budgets, and deliverables.
- Manage the financial and operational aspects of event budgets, including forecasting and budget analyses.
- Negotiate hotel contracts, including room blocks, food and beverage minimum, audio visual, and concessions to ensure AIA is getting the most financial benefit and is minimizing risks.
- Negotiate and manage vendor contracts (e.g., private venues, registration platforms, virtual meeting software, etc.) and identify cost savings.
- Oversee site selection, all event logistics, registration, transportation, signage orders, general session production décor, event security, staff, vendor, speaker management, VIP guest hotel arrangements, final bill review, payment, and post conference survey review.
- Coordinate with the Communications team to write and develop supporting marketing material and create marketing plans for each individual event.
- Oversee the creation and execution of the events website, registration software, and mobile event app.
- Develop and sell competitive sponsorship packages that benefit both AIA and its members.
- Communicate and collaborate effectively with key internal and external stakeholders and clients, including department heads, planning committee members, Conventions and Visitors Bureaus (CVB), hotel and venue personnel.
- Manage logistics and participate in pre-event calls for government, industry, and paid speakers.
- Develop a comprehensive run of show, event timelines, deliverables, and milestones for internal stakeholders.
- Serve as liaison to AIA committees and member companies for their attendance and participation at AIA’s signature events.
- Define clear roles and responsibilities for AIA staff and contractors onsite, supervise and evaluate junior staff at conferences.
- Support the success of virtual programs and webinars.

Key Responsibilities:
This position is responsible for successful execution of AIA’s legislative strategy as it relates to civil aviation legislation before the U. S. Congress. Under direction of the Vice President, Legislative Affairs, the position provides broad support to and leads AIA’s overall legislative strategy with a focus on Civil Aviation issues. Where needed, it is expected that the Director will also support legislative advocacy on cross-cutting issues aligned with AIA’s strategic priorities such as federal tax policy, workforce, and annual defense legislation. This is a strategic role requiring adaptability, creativity, and motivation. Position Summary:
This position is responsible for managing the development, maintenance, publication and distribution of the National Aerospace Standards (NAS) with other team members at AIA. Oversees the execution of the 5-year review process for the NAS library that contains over 1200 active standards. Manages the detailed transactions with the National Aerospace Standards Committee (NASC) and provides support to other AIA standards writing groups throughout the various steps of the standards process from project initiation through final publication.
Key Responsibilities:
These responsibilities will be accomplished through actions such as:
Operational Management for Standards development (40%)
- Managing the approval and publication process for standards developed by AIA committees; final reviewer/editor before standards are published.
- Maintaining and applying AIA standards style guide to ensure publication quality and consistency.
- Providing oversight and direction to staff that support the standards program for:
- Balloting
- Registering NAS Standards with the Library of Congress for copyright
- Maintaining NAS Standards Database (SharePoint environment)
- Fielding standards related inquiries to AIA.

- Supporting standards development activities and outreach with other organizations.

- Support NASC Steering Committee workload via teleconference; prepare agendas, meeting minutes, and follow-up action items.
- Provide guidance to the committee on NASC Handbook and other AIA policies
- Manage NASC Technical Advisor approval process and annual invoicing
- Maintain balloting schedule for 5-year reviews; provide oversight for staff and contractors
- Manage project approval process and provide working files to sponsors
- Attend and support off-site meetings (travel required); record meeting minutes
Advocacy & Outreach (20%)
- Serve as staff liaison to AIA’s Nondestructive Testing Subcommittee; with responsibility for managing one of AIA’s most popular standards; oversees international harmonization efforts for the group.
- Support standards development activities and outreach with AIA Member Companies, government liaisons and technical advisors.
- Manage NASC meeting budget, site selection, contract negotiation, meeting announcement/RSVPs, coordination with AIA Corporate Events and meeting hotel in preparation for the meeting, on-site hotel coordination, review of hotel bills
- Maintain multiple software systems (for balloting, on-line collaboration, document posting, and roster maintenance)
- Coordinate with AIA Standards Engineer on 5-year review of all NASC standards
- Collaborate with AIA staff members on development/maintenance of standards throughout AIA
- Develop standard operating procedures and cross-train with other staff members to ensure team resiliency.

- 5+ years of experience in standards development and standards publishing.

- Experience in project management and meeting planning/hotel coordination required.

Position Summary:
AIA is seeking a Manager, Corporate Events. This position is primarily responsible for the planning and execution of AIA’s strategic events, as well as providing logistical support for various association meetings (in-person, hybrid, and virtual). The ideal candidate is detailed oriented and possess above average organizational and inter-personal skills. This position reports directly to the Vice President, Corporate Events.
Key Responsibilities:
Event Management (85%)
- Conceptualizing, designing, and creating high-profile external events that portray the organization in a positive light to media, government officials and other key stakeholders. Events include but are not limited to multi-day meetings with senior government officials and receptions at international air shows.
- Oversee the creation and maintenance of online components of events to include registration, event web pages, surveys, etc.
- Manage the AttendeeHub event app, inputting the schedule, speaker bios, and helpful information for attendees for large events and air shows.
- Produce detailed proposals for events, e.g., timelines, venues, vendors, staffing, and budgets.
- Create event sponsorship packages and assist in the solicitation and securing of sponsorships when applicable.
- Partner with internal cross-functional teams to create event agendas, marketing materials, and content that meet engagement targets.
- Increase the engagement strategy, creative approach, planning, and execution for the organization’s largest and highest profile events, including day-of-event management.
- Lead and support management of internal webinars hosted through Zoom for Government.
- Negotiate vendor contracts, such as audio visual, transportation, entertainment, etc.
- Monitor hotel room blocks for all events.
- Manage food and beverage, as outlined on BEOs, to confirm that all meals and room setups are correctly.
- Manage and track speakers’ requirements, i.e. transportation, hotel rooms, dietary restrictions, AV, presentations, etc.
- Assist in the design, development, and execution of marketing and outreach strategies under the direction of the Vice President.
- Develop approach and methods to evaluate and measure event success. Leverage insights in the development of an annual strategy.
Financial Management (15%)
- Monitor budgets to ensure revenue and expenses are kept within established boundaries.
- Review financial information for accuracy, such as invoices for services and materials; the hotel invoice, subcontractor invoices, etc.
- Ability to identify and execute on opportunities for increased efficiencies and cost savings.

Position Summary:

Key Responsibilities:
This position is primarily responsible for program and operational support to the Civil Aviation and Engineering and Technology division Vice Presidents and their respective division operations. Responsibilities include but are not limited to meeting planning, engagement, and coordination with internal/external stakeholders, division-wide near and long-term planning activities, schedule and calendar maintenance, travel arrangements and expense filing, and other responsibilities as directed by the Vice Presidents. The incumbent will also lead and support overall division tasks, including assisting with council, committees and working group actions, preparing, and disseminating documents for member company distribution and/or AIA leadership, preparing policy summaries for AIA leadership and Members, and collaborating on Association-wide flagship events.
These primary responsibilities will be accomplished through actions such as:
Operational Management for Division Leadership (50%)
- Regular interaction with each Vice President and internal/external stakeholders on division tasks with a customer service-oriented, responsive, project manager, and attention-to-detail approach.
- Administrative support to include scheduling, meeting logistics, expense reports and travel arrangements.
- Serve as the key point of contact for communication for each division with internal/external stakeholders, including coordinating team engagements, tracking internal/external deadlines, and anticipating internal/external requirements.
- Maintain, update, and provide management of division-wide electronic filing systems using the Microsoft suite of programs (e.g., SharePoint, Project, Outlook, Excel, PowerPoint, etc.)
- Track division processes/projects and lead on process improvement opportunities leading towards improving divisional efficiency and effectiveness.
- Assist with preparing and maintaining division budgets, as well as monitoring/tracking division expenditures against approved allocations during the year.
- Ensure timely and accurate receipt, processing and verification of division invoices utilizing organizational financial systems.
Support to Policy and Advocacy Activities (25%)
- Prepare and disseminate highly accurate, timely information to AIA/division councils, committees and working groups.
- Support division colleagues on tracking and recording relationships and member engagement for all councils, committees, and working groups in the Association’s database (Membercast)
- Prepare initial drafts of policy and advocacy documents for member company and/or AIA leadership.
- Prepare summaries of AIA council, committee, and working group meetings
- Monitor and prepare summaries of outside policy events (e.g., Congressional hearings, think tank discussions, etc.) for AIA leadership and Members.
Enterprise-wide Collaboration (25%)
- Provide support to AIA-wide flagship events, including bi-yearly meetings, quarterly executive meetings, monthly industry-wide interactions, and international air and trade shows.
- Collaborate with other division Coordinators/Senior Coordinators on organization-wide needs on an as needed basis, to include planning/execution of meetings or events led by other parts of AIA.
- Participate in special projects, focus groups, and other assignments as needed.

Position Summary:
Inspire the next generation of aerospace and STEM leaders!
As the Coordinator, American Rocketry Challenge & Program Outreach, you’ll play a pivotal role in the American Rocketry Challenge—the world’s largest student rocket contest and the aerospace and defense industry’s signature STEM program. Your work will empower over 5,000 middle and high school students to design, build, and launch model rockets, fostering hands-on experience in solving engineering problems. Additionally, you’ll contribute to our Aerospace STEM Club initiative, engaging historically excluded backgrounds through clubs and summer camps.
Reporting to the Vice President, Communications, you will facilitate team registration and engagement, deliver year-round programmatic content, and execute event planning for our National Finals event. You will conduct internal and external communications and coordinate with program partners, exhibitors, and vendors.
You will also assist with AIA’s Aerospace STEM Club initiative. Developed from a Space Act Agreement with NASA in 2023, the Aerospace STEM Clubs aim to engage second through sixth grade students from historically excluded backgrounds in STEM to the field of aerospace through a pilot program developed for clubs and summer camps.

- American Rocketry Challenge (80%)
- Collaborate with AIA staff in the administration of all program management related to the American Rocketry Challenge
- Deliver top notch customer service as the first point of contact for students and teams in addressing and solving program-related questions and issues
- Review and manage team registrations, grants, and flight data, including data entry and review through our online application portal
- Coordinate event planning for the National Finals and International Rocketry Challenge including vendor, exhibitor, and volunteer outreach
- Assist in the development and execution of outreach initiatives, including internal and external communications strategies (e.g. team communications, recruitment, webinars, social media, newsletters, partner engagement)
- Maintain content and team resources on the program website and assist in the production of the annual Year in Review
- Conduct analytics and surveys on program impact including demographic data
- Help onboard, train, and oversee interns

Qualifications and Experience:

- Monitor and prepare summaries of outside policy events (e.g., Congressional hearings, think tank discussions, etc.) for AIA leadership and members.
